Position Overview:

We are seeking a skilled and ambitious, experienced Administrator to play a key role in expanding our private servicing department. This position will involve a range of administrative tasks, including cold calling prospective clients, managing payments, and ordering parts for our team of engineers. The ideal candidate will be highly organised, detail-oriented, and adept at multi-tasking in a fast-paced environment.

Key Responsibilities:

  • Conduct cold calls to prospective clients to generate leads and schedule appointments for boiler assessments.
  • Assist clients in making payments for services rendered, ensuring accuracy and timeliness in processing transactions.
  • Coordinate with suppliers to order parts and equipment needed by gas engineers for boiler repairs and servicing.
  • Manage scheduling and logistics for service appointments, optimising efficiency and minimising downtime.
  • Maintain accurate records of client interactions, payments received, and parts ordered utilising appropriate software tools.
  • Provide administrative support to gas engineers, including preparing work orders, invoices and service reports as needed.
  • Continuously evaluate and improve administrative processes to enhance departmental efficiency and customer satisfaction.

Experience / Competencies:

  • Extensive experience in administrative roles, preferably in the HVAC, plumbing, or mechanical services sector.
  • Proven ability to conduct cold calls and generate leads, with strong communication skills.
  • Experience managing payments and invoices, with a keen eye for detail and accuracy.
  • Familiarity with parts ordering processes and supplier management in a technical field.
  • Proficient in Microsoft Office suite (Word, Excel, Outlook) and Google (Docs, Sheets, Gmail) and other relevant software applications.
  • Excellent organisational and time management skills, with the ability to prioritise tasks effectively.
  • Strong problem-solving abilities and a proactive approach to addressing challenges.
  • Ability to work independently and collaboratively within a team environment.

Working hours: Monday - Thursday 08.00am - 16.45pm and Friday 08.00am - 16.30pm
