Job description

The HR Administrator will play a key role in fostering a positive work environment and supporting the overall HR strategy of the organisation. The role is to provide comprehensive administrative support across various HR and Support Service functions.

This position is based at our office in Stoke on Trent. Standard office hours with occasional flexibility required to accommodate training sessions or urgent matters. Some travel may be required to attend off-site meetings or training sessions. Hybid working available following intergration.

Responsibilities

  • Assist in the recruitment process, including drafting job postings, scheduling interviews and conducting pre-employment checks
  • Maintain applicant tracking system and ensure candidate records are up-to-date
  • Coordinate the onboarding process for new hires, including preparing offer letters ensuring all necessary paperwork is completed and orientation sessions are scheduled
  • Collaborate with hiring managers to facilitate a smooth transition for new employees into their roles
  • Process employee terminations, conduct exit interviews, and update HR records accordingly
  • Ensure all necessary paperwork is completed, including final pay calculations and benefits administration
  • Maintain employee records in the HRIS (Human Resources Information System)
  • Generate reports and assist with data analysis as needed
  • Support initiatives to enhance employee morale and satisfaction, such as organizing team building activities, social event and recognition programs
  • Assist in conducting employee surveys and collecting feedback to identify areas for improvement
  • Act as a resource for employees seeking guidence on HR policies, benefits and other related inquiries
  • Maintain accurate records of employee absences, including sick leave, vacation time and other types of leave
  • Monitor attendance patterns and follow up with employees as needed to ensure compliance with Company policies
  • Work closely with managers to address attendance issues and implement appropriate disciplinary actions when necessary
  • Provide back up support for another HR administrator during periods of absence
  • Ensure continuity of HR operations and timely response to employee inquiries or issues

Qualifications

  • Qualified CIPD or working towards CIPD
  • NVQ or equivalent in Business Administration, or a relevant field preferred

  • Attention to detail and a commitment to maintaining accurate records and data integrity
  • Strong communication skills, both written and verbal, with the ability to interact professionally with employees at all levels
  • Proficiency in Microsoft Office suite and HRIS software
  • Ability to adapt to changing priorities and work effectively both independently and as part of a team

Experience

Proven experience in HR Administration or a related field, with a strong understanding of HR processes and best practices

Previous experience in training coordination, subcontractor management or asset administration is advantageous

Knowledge/experience of the Natural HR software platform is beneficial

Familiarity with employment laws and regulations in the UK is desirable
